Job Title : Back Office Executive cum Accountant
Department : Operations & Accounts
Position Level : Entry to Mid-Level
Preferred Age : 22 – 35 Years
Salary Range : ₹15,000 – ₹22,000 per month (Depending on skills & experience)
Reporting To : Operations Manager / CEO

2. JOB SUMMARY
The Back Office Executive cum Accountant is responsible for managing day-to-day back-office operations, maintaining accurate accounting records in Tally, updating CRM systems, coordinating with customers and engineers, and supporting management in administrative and operational activities.
The role requires high attention to detail, disciplined documentation, timely reporting, and professional communication to ensure smooth business operations.

3. KEY RESPONSIBILITIES
3.1 Communication & Customer Coordination
• Handle incoming calls, emails, WhatsApp messages, and other communication channels professionally.
• Ensure timely callback of missed calls and maintain proper communication records.
• Coordinate with service engineers for task allocation, updates, and job completion status.
• Collect customer feedback after service completion and update the CRM accordingly.

3.2 CRM & Service Management
• Record all customer interactions and service requests in the CRM system.
• Update work status, engineer allocation, challan numbers, and remarks in CRM.
• Maintain records for AMC, warranty, and call-basis customers.
• Ensure service calls are closed only after confirmation from the customer.

3.3 Accounts & Tally Operations
• Record transactions in Tally including:
• Purchases
• Receipt Notes
• Delivery Notes
• Sales Entries
• Software License Entries
• Maintain the Cash Book, Stock Journal, and Inward/Outward registers.
• Prepare daily bank statements and daily collection reports.
• Follow up with customers for pending payments and update collection status.
• Assist in preparation of financial and statutory documentation.

3.4 Material & Replacement Management
• Maintain records of material inward and outward movement.
• Verify vendor invoices with inward entries and stock records.
• Track third-party repair materials and their return status.
• Maintain replacement records including serial numbers and old material returns.

3.5 Sales Support Activities
• Conduct follow-up calls for pending quotations and customer visits.
• Prepare and send quotations as instructed by the sales team or management.
• Maintain and regularly update the company product/service price list.
• Coordinate with engineers and sales staff for sales-related activities.

3.6 Documentation & Administrative Support
• Maintain organized records of customer, vendor, and banking documents.
• Prepare daily, weekly, and monthly operational reports.
• Support meeting scheduling, minutes preparation, and follow-up on action items.
• Assist in handling responsibilities of other back-office staff during absence when required.

3.7 Compliance & Accounts Support (GST / TDS / IT)
• Maintain TDS registers and ensure timely documentation.
• Assist in preparation of TDS returns (24Q, 26Q) and related records.
• Maintain GST documentation and support verification of GSTR-1 and GSTR-2 data.
• Maintain income tax challans, depreciation schedules, and coordinate documentation with the Chartered Accountant.

4. EDUCATIONAL QUALIFICATIONS
Minimum Qualification : Graduate in Commerce / Business Administration
Technical Knowledge :
• Basic Computer Skills
• Knowledge of Tally ERP / TallyPrime preferred
• MS Excel and Email communication

5. EXPERIENCE REQUIREMENTS
Back Office Experience : Minimum 1 – 2 Years
Accounts Experience : Minimum 1 Year (Tally experience preferred)

6. REQUIRED SKILLS
• Good communication skills in Gujarati, Hindi, and English
• Proficiency in MS Excel, Email communication, and WhatsApp Business
• Strong attention to detail and accuracy in data entry
• Ability to manage multiple tasks and meet deadlines
• Professional behavior and disciplined work approach
